Payments — Cash on Delivery & Prepaid Orders

How COD remittance works, how prepaid Razorpay payments are captured, and when to ship each type of order.

BillionBiz supports both Cash on Delivery and online prepaid payments — here's how each flows through to your bank account.

Cash on Delivery (COD)

COD lets customers pay the courier agent in cash when the parcel arrives — the most popular payment method in India, and essential for reaching customers who prefer not to pay online.

Customer selects COD at checkout

If COD is available for the customer's pincode and the selected courier supports it, a "Cash on Delivery" option appears alongside online payment methods.

Order arrives as COD Pending

The order lands in your dashboard with payment status COD Pending — the cash hasn't been collected yet.

You ship the order

Book the shipment exactly as you would for a prepaid order — the courier already knows to collect cash on delivery.

Customer pays the courier on delivery

The courier agent collects the full order amount in cash and hands over the parcel.

Shiprocket remits the cash to you

Shiprocket pools all COD collections and periodically transfers the net amount — after its COD handling fee — to your registered bank account. Track every remittance on the COD Remittance tab.

COD fees and remittance schedule

Shiprocket charges a COD handling fee (a percentage of order value) deducted before the remittance reaches you — the amount on the COD Remittance tab is always the net figure. Remittances typically run on a 7-day cycle (the exact schedule depends on your Shiprocket account type). Each remittance entry shows the date, total amount, a UTR (Unique Transaction Reference) to match against your bank statement, and a breakdown of which orders are included.

Tip

Match the UTR against your bank statement to confirm receipt. If a remittance appears here but you don't see it in your bank account after 3 business days, use the UTR to raise a query with your bank or Shiprocket support.

Filtering and paging the remittance list. Narrow the table with a from date / to date range (defaults to the last 30 days) and a status filter — All Statuses, Pending, Processed, or Failed. The list is paginated below the table; use the page controls to move through older remittances once you have more rows than fit on one page.

Manual remittance sync (admin only)

If you use the fromDate/toDate filters and expect a remittance that hasn't shown up yet, admins and super admins see a Sync button above the table. Clicking it re-reconciles remittance records against Shiprocket for the currently selected date range and reports how many new records were inserted and how many existing ones were reconciled. Regular staff accounts don't see this button — if you need a sync and don't have admin access, ask a store admin to run it.

Checking COD availability for a pincode

Not every courier supports COD to every pincode. Use the Rate Calculator (Shipment → Rate Calculator): enter origin and destination pincodes, set payment mode to COD, and check the "COD: Yes/No" flag on each courier option returned.

COD orders and returns

If a COD order is returned, there's no online payment to refund — the customer paid cash to the courier, not to your Razorpay account. The refund must be handled directly between you and the customer (bank transfer or store credit). BillionBiz restores the inventory automatically when the return is approved, but the cash refund is a conversation outside the platform.

Prepaid orders & online payment

When a customer pays online (card, UPI, net banking, or wallet), the payment is processed through Razorpay and captured immediately. The order arrives with payment status "Paid" — no waiting or chasing.

Customer places the order

The customer clicks Place Order and selects an online payment method.

Razorpay opens

Razorpay's secure payment screen opens; the customer completes payment via card, UPI, net banking, or wallet.

Payment is captured

Authorised and captured in seconds. The customer is redirected to Order Confirmation showing "Order Confirmed!" with the order number, total, and shipping address.

Order appears as Paid

The order shows up in your admin dashboard with status Processing and payment status Paid.

When a payment is interrupted

Sometimes the payment succeeds on Razorpay's side, but the browser closes or the connection drops before the customer is redirected. In that case, the customer's order page shows a Complete Payment card with a Retry button — clicking it re-verifies with Razorpay. If the original payment was captured, the order is confirmed immediately with no second charge; if not, the customer can start a fresh attempt.

Admin side

If you see an order stuck in "Payment Pending" for more than 30 minutes, check the Razorpay dashboard directly to confirm whether payment was captured. If it was, confirm the order manually from the Order Detail screen.

When to ship

Prepaid orders can be shipped as soon as they show status "Paid" — the money is already secured. If auto-fulfillment is enabled, the shipment books automatically the moment the order is confirmed.

Refunds

If a prepaid order is cancelled or a return is approved, a refund is initiated via Razorpay automatically. Customers typically receive the money in 5–7 business days depending on their bank and payment method — refund status appears on the order detail screen.
